Transaction Coordinator

Position Overview

We are seeking a meticulous and organized individual to join our team as a Commercial Real Estate Transaction Coordinator. The Transaction Coordinator will play a pivotal role in facilitating seamless commercial real estate transactions by managing due diligence documentation, coordinating site visits, tracking escrow milestones, ensuring compliance, and overseeing commission tracking. The ideal candidate will possess excellent attention to detail, strong organizational skills, and the ability to effectively multitask in a fast-paced environment.

Key Responsibilities

Due Diligence Documentation

  • Gather, review, and organize all due diligence documentation required for commercial real estate transactions.
  • Ensure accuracy and completeness of documents, contracts, and agreements.

Due Diligence Vault Creation and Distribution

  • Create and maintain due diligence vaults for each transaction using designated software or platforms.
  • Distribute due diligence materials to relevant parties in a timely and secure manner.

File Deal Agreements

  • Assist in the preparation, filing, and tracking of deal agreements and contracts.
  • Ensure all necessary paperwork is completed accurately and submitted on time.

Site Visits

  • Coordinate and schedule site visits for potential buyers, tenants, and other stakeholders.
  • Arrange access to properties, provide necessary information, and facilitate smooth visit experiences.

Escrow Milestones

  • Track and monitor escrow milestones throughout the transaction process.
  • Communicate with all involved parties to ensure timely completion of milestones and adherence to deadlines.

Compliance Tracking

  • Maintain compliance with legal and regulatory requirements throughout the transaction process.
  • Regularly update compliance records and documentation as needed.

Commission Tracking

  • Track, calculate, and document commissions for agents and brokers involved in transactions.
  • Ensure accurate and timely payment of commissions according to contractual agreements.

Qualifications

  • Bachelor's degree in Business Administration, Real Estate, or related field preferred.
  • Previous experience in transaction coordination or real estate administration is advantageous.
  • Proficiency in Microsoft Office Suite and familiarity with real estate transaction software.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to prioritize tasks, manage deadlines, and work effectively both independently and as part of a team.
